About MACROVAN MACROVAN is a purpose-built welfare van hire and sales business operating out of Fremantle, Western Australia. Our fleet of premium welfare units supports construction, mining, and infrastructure projects across WA and nationally. We are backed by Saltire Infrastructure — specialists in pipeline and civil construction — and are scaling rapidly toward national fleet coverage. This is an early-stage role in a business with serious growth ambition. You will help shape how we operate. The Role The Hire Coordinator is the operational engine of MACROVAN's hire business. You will own the end-to-end customer journey from first enquiry through to van return — managing bookings, coordinating logistics, keeping the fleet moving, and ensuring every customer has a smooth experience. This is a cross-functional role. You will also provide administrative support to MACROVAC, our vacuum excavation hire operation, covering lead generation, bookings, and general administration. Key Responsibilities Hire Operations • Manage all incoming hire enquiries via phone, email, and CRM — respond promptly and professionally • Prepare hire quotes, process bookings, and issue hire agreements • Coordinate van delivery and collection logistics with drivers and transport partners • Track fleet availability, utilisation, and service schedules • Conduct hire handover and return inspections, or coordinate these with field staff • Maintain accurate hire records, invoicing, and debtor follow-up Lead Generation & Sales Support • Actively prospect for new hire customers — construction companies, contractors, and project managers • Maintain and grow the MACROVAN and MACROVAC customer databases • Support the Business Manager with sales pipeline tracking and reporting • Identify upsell and extension opportunities within existing hire accounts Administration • Provide general business administration support across MACROVAN and MACROVAC • Assist with supplier coordination, purchase orders, and fleet documentation • Support compliance record-keeping including AMSA documentation and state registrations What We Are Looking For Essential Desirable • Experience in hire, logistics, or fleet coordination • Confident phone manner and strong written communication • High attention to detail — accurate with paperwork and data • Proactive and self-directed — comfortable owning tasks end to end • Proficient with Microsoft Office; able to learn hire/CRM software quickly (Latner experience highly desirable). • WA driver's licence • Background in construction, plant hire, or equipment rental • Experience with Jobman, HirePoint, or similar hire management software • Understanding of welfare van or mobile accommodation products • Experience in a small or early-stage business environment What We Offer • Competitive salary — negotiable based on experience • A genuine opportunity to grow with the business — this is a founding team role • Direct access to leadership — no layers, no bureaucracy • Variety across two growing businesses: MACROVAN and Macrovac • Fremantle-based office with a driven and supportive team How to Apply Send your resume and a brief cover letter telling us about your coordination experience and why MACROVAN interests you to: macrovan.au Applications are reviewed on a rolling basis.
