ABOUT THE ROLE We are seeking a proactive and customer-focused Service Administrator to join our QLD team in a full-time capacity. In this pivotal role, you will be responsible not only for service scheduling, invoicing, and contract administration but also for coordinating and supporting our field service technicians to ensure jobs are delivered efficiently and to the highest standard. Your work will focus on driving service excellence end to end—from initial scheduling and customer liaison to follow-up and completion of work. A proactive attitude, strong organisational skills, and customer service focus are essential, while technical aptitude is highly desirable. Responsibilities include, but not limited to: Coordinate service technicians and schedule maintenance and repair work, including long-term pre-planning. (6–12 months in advance). Follow jobs through from booking to completion, ensuring timely updates and customer satisfaction. Provide efficient, responsive coordination and administrative support to the service and project teams across installations, repairs, maintenance jobs, and project work. Prepare and process service invoices and maintain accurate records. Maintain and update service management systems and records and assist with procurement of parts and materials to support service jobs. Communicate effectively with customers, providing updates, managing expectations, and resolving queries or concerns. Maintain service contract engagement with all clients (new and existing). Contribute to continuous improvement within the service team. What we are looking for Experience in service coordination, scheduling, or administration (trades/services preferred). Ability to work effectively with field technicians and understand job requirements to deliver customer-centred service. Proactive attitude with a willingness to help wherever needed. Strong organisational skills, attention to detail, and ability to prioritise. Excellent communication and interpersonal skills for effective liaison with internal teams, field staff, and customers. Customer service focus, with a commitment to professional, courteous, and solution-focused interactions. Technical aptitude is desirable ability to understand technical job requirements and support field staff effectively. Proficiency with Microsoft Office and experience using service management software. A team player who fosters positive working relationships and thrives in a fast-paced, dynamic environment.
