In this permanent, part time position (30 hours per week) based at our Head Office in Mulgrave, Victoria, you’ll join a high‑performing Vans team where you will play a key role in supporting our Service Plan and digital experience operations . In this role, you will oversee retailer approvals, manage key account invoicing and ensure the accuracy of Service Plan data across core systems, while building strong relationships with both internal and external stakeholders. You will also contribute to Fleet Service Plan tenders, support the Mercedes‑Benz Roadside Assistance program and assist with key national projects, including system integrations and retailer training initiatives. Key duties & responsibilities : Manage end‑to‑end Service Plan operations, including retailer monitoring and approvals, fleet and retailer stakeholder management, invoicing of key accounts, maintaining accurate data and updating sales performance in various systems (Excel, ASSET and Vega) Coordinate service operations by managing bulletin creation and distribution, ensuring retailers receive current information and assisting with service/parts enquiries. Support delivery of the digital customer experience through Mercedes Me communications, online appointment booking operations, monitoring digital KPIs and revenue, enabling vehicle connection and digital service activation and preparing digital performance reports. Provide project support across key systems initiatives (OneDMS, OneDoc, Salesforce × Vega integration) including attending meetings, completing IT UAT, assisting with launches and coordinating retailer training activities. Manage administrative functions such as budget & invoice tracking, spend monitoring, preparing meeting minutes and coordinating team presentations and events. Collaborate cross‑functionally to ensure timely communication, smooth execution of operational processes and consistent support for internal teams, retailers and fleet customers. What you will need to be successful : 1–2 years’ experience in automotive administration or finance, with beneficial knowledge of Accounts Payable processes and SAP/SRM. Strong administration, Excel, organisational and project coordination skills, with the ability to manage competing deadlines and a varied workload. Excellent communication skills, analytical thinking, attention to detail and a proactive, problem ‑ solving approach. Customer-focused, adaptable and collaborative, supported by qualifications in Business/Marketing (or equivalent experience) and a commitment to continuous learning.
