Purpose of the Role The Facilities Administrator provides essential administrative, coordination and onsite Help Desk support for the Treasury Precinct. You will be the first point of contact for service requests, ensuring efficient triage, smooth communication and accurate data management. This role supports reporting, compliance and technology-driven improvements to enhance precinct service delivery. The ideal candidate is organised, customer-focused and proactive, with a passion for delivering high-quality service in a fast-paced operational environment. Key Responsibilities Operate the onsite Help Desk, triaging, logging and coordinating service requests Provide front-line customer service and timely updates to occupants Maintain accurate records in FM systems and BGIS Connect, including permits, access approvals and contractor documentation Prepare scheduled and ad hoc reports including KPIs, compliance trackers and asset summaries Support onboarding, contractor access and security clearance processes Assist with financial administration, including purchase orders and invoice tracking Identify and contribute to workflow improvements and technology-led efficiencies Education, Experience & Skills Essential Experience in facilities administration, property administration, service desk or customer service roles Strong organisational skills with attention to detail and accuracy Experience operating a Help Desk or customer-facing service channel Proficiency with FM systems, CRM tools or digital work order platforms (BGIS Connect experience advantageous) Strong communication skills and professional customer engagement Capability to coordinate contractors, maintain documentation and support compliance Microsoft Office proficiency, particularly Excel and SharePoint Ability to work under pressure in a fast-paced environment with competing priorities Willingness to obtain required security clearances Desirable Exposure to government or contract-based facilities management operations Familiarity with financial workflows and invoice/purchase order processing Workplace Flexibility Based onsite in Melbourne CBD , with flexible start and finish times.
