The Role We are seeking an Executive Assistant for a permanent, full-time position at our Office in Port Melbourne reporting to the project director. The Western Renewables Link is a proposed new 190 kilometre overhead high-voltage electricity transmission line that will carry renewable energy from Bulgana in western Victoria to Sydenham in Melbourne’s north-west. This critical infrastructure will unlock the renewable energy potential of western Victoria as a key Renewable Energy Zone and help deliver clean and affordable energy to all Victorians. The role will involve providing direct support to the Executive Commercial Manager, and assisting with a variety of administrative duties. The Executive Assistant's responsibilities will include: Providing general and focused Administration support to the project and Executive teams, Following internal controls and maintaining a high level of confidentiality, document control, data and finance security to protect business operations and customer confidence, Continuously liaising with external and internal stakeholders whilst maintaining high quality customer service, including responding to enquiries and disputes from customers/suppliers and elevate for urgency when required, Attending weekly meetings, preparing reports and taking minutes as required Providing information as required for both internal and external auditors, Assisting with the mobilisation and onboarding of new starters as required. Essential Skills / Qualifications/Experience Qualifications in Business/Project Administration/Office Management/Commerce, 3 Years’ experience supporting senior-level / executive-level management, Demonstrated good safety record and knowledge of Occupational Health & Safety, C class driver’s licence, High level customer relationship management, communication, and interpersonal skills, Strong attention to detail, Advanced level PC, printer, scanners, and internet skills, Advanced level Office, Word, Excel, PowerPoint, and Outlook skills, High efficiency and accuracy of typing and word processing, Experience with diary and travel management, Excellent time management and organisational skills. Desirable Skills / Experience Tertiary qualifications in business/finance, or equivalent, Experience, ideally within construction or engineering, Experience in commercial contract formation and tendering processes, Experience in utilities and/or construction and/or resources industry, Experience in a law firm, legal secretary, or receptionist.
