The position of Administration Officer, Division of Medicine will provide efficient administrative support to divisional service groups which would include frontline areas such as Outpatients and wards and back of house services, providing a high level of customer service, demonstrating understanding, empathy, patience, and a positive attitude. About the Role Provide high quality confidential administrative support to service group multidisciplinary teams which may include Director and management positions. Management of service group phone calls and generic emails. Work autonomously, utilising discretion in the absence of decision makers in resolution of conflict, meet deadlines, establish work priorities, organise meetings and appointments. Participate in the development, implementation, review and maintenance of internal systems, processes, and work practices, including waitlist and referral management and clinic coordination. Prepare and distribute agendas for meetings, book conference rooms, facilities and equipment and take minutes during meetings. Enter patient demographics, Medicare and health fund details using clinical computer systems such as HBCIS, ieMR. Ensuring that high quality and accurate data is recorded at all times. Complete general administration duties including the electronic scanning (ieMR) of all paperwork pertaining to patient admissions and discharges, outpatient bookings, typing, photocopying, collection of all relevant patient data forms, monitoring and ordering of non-clinical supplies, routine upkeep of the reception area. Complete all documentation relevant to admissions/discharges and forward to Finance Department for completion of billing in accordance with Queensland Health and CHQ HHS Administration Processes. Conduct patient interview to verify information and financial details to complete the Patient Election Form (PEF) process. Contact Patient Option Liaison Officers when a private or compensable patient is identified.
