We host 5 programs and over 40 events each year, such as Go Girl, Go for IT, Whats Hot in Tech, and the Grad Girls Program to inspire young minds and foster diversity in STEM. About the Grad Girls Program The Grad Girls Program is a flagship initiative of Women 4 STEM, designed to inspire and empower female students to explore careers in STEM. The program features engaging workshops, interactive careers expo, panel discussions, and webinars, culminating in impactful events. Across the 9-month Program, participants connect with STEM professionals, gain hands-on experience, and envision themselves in STEM careers Role Overview Reporting into the Program 2IC, the Main Events Coordinator plays a central role in the delivery of our key events: Program Kick-Off, Careers Expo and Graduation. You will plan, organise, and execute the key events within the annual program, ensuring they run smoothly, engage participants, and achieve program goals. The role requires close collaboration with volunteer team members, sponsors, and vendors to create memorable experiences for participants. This is an excellent opportunity for young professionals in Events, Hospitality, Project Management, or Logistics to gain practical experience, expand their networks, and contribute to diversity in STEM. Volunteers receive hands-on exposure, mentoring, and perks such as discounted tickets to Women 4 STEM events. Responsibilities include: Collaborate with the Program Lead and Program 2IC to deliver the plans for the key events (Program Kick-Off, Careers Expo and Graduation) as outlined in the Event Playbook Supervise and guide event volunteers (including photographers/videographers), ensuring everyone clearly understands roles and responsibilities Develop and manage event logistics collateral with Main Events Support, including run sheets, participant RSVP lists, and audience engagement tooling Act as the primary contact for venue management, catering, and transport including handling accessibility and dietary requirements, scheduling dry runs, and overseeing bump in/out activities Liaise with the Sponsor Liaison and Marketing Lead to integrate Sponsor branding into events Work with the Student Events Coordinator and Ticketing Lead to confirm attendance, manage registrations, and communicate event details such as agenda, location, timing Collaborate with the Data Analysts to collect and evaluate event feedback, measuring success and recommending improvements Provide Program 2IC with monthly reporting, summarising event outcomes, challenges, and recommendations Who are we looking for? Experience in event and/or campaign management, with the ability to manage multiple priorities Strong interpersonal and communication skills, with experience working across diverse teams and stakeholders Confident with Zoom and Teams; Google Meet experience a bonus Strong attention to detail, with a commitment to high-quality event delivery Proactive, with a passion for effective audience engagement Hands-on, resourceful, and able to problem-solve under pressure during events Experience with Slack is an advantage (not essential) Ability to collaborate cross-functionally while working independently A passion for gender equality and diversity in STEM education What is the commitment?
