Role purpose The Venue Services Officer is responsible for the administration o f booked activities across the National Museum of Australia's venues. This position will administer the Museum's booking platforms, Artifax and Bookings Canberra Excursion, to ensure all booking activity is captured and communicated to key stakeholders . The role also contributes to key Commercial projects and promotional activities as directed by the Venue Services Coordinator, as well as building and maintaining relationships with internal and industry stakeholders. The key duties of the position include Key accountabilities Coordinate and carry out all day-to-day administration for the Venue Services team, including reviewing and responding to email and phone correspondence, managing shared inboxes, maintaining sales and product inventory, documenting partnership / advertising opportunities, record keeping and processing invoices. Managing and responding to all Canberra Convention Bureau enquires, sending tailored proposals and ensuring all leads are responded to and tracked accurately. Responding to stakeholder enquiries and orders using the Museum systems, following policies and procedures, including processing orders for school groups and social groups for tours, customer assistance and financial processing. Administration of the Venue Services databases, including data entry, management of stakeholder records using the Bookings Canberra Excursion system, Artifax and Tessitura, CCB portal and general oversight of data integrity. Administering systems to collect, collate and report on data using attention to detail, and contributing to team-wide reporting. Supporting the Venue Services Coordinator with administration of projects, systems and processes to ensure timely delivery; and contributing to project evaluation and reporting. Coordinate and publish ongoing clear and concise communications with stakeholders via e-communications, and monitors and updates Venue Services content on internal and external websites. Representation and promotion of the Museum at internal and external meetings and events; including engaging with stakeholders and supporting the Venue Services Coordinator as required. Contribution to the achievement of business unit targets through applying initiative, responding to change flexibly, and prioritising tasks to complete work within defined timeframes. Meeting set sales KPI's for each month for bookings, converted leads and additional services and keeping track by capturing all the required information. Administration of requirements for Venue Services sales events, inc luding post-event follow-up administration and reporting. Provide administrative and research support, assisting with budget processes, and monitoring sales activities.
