Our client is looking for a full-time Receptionist/ Studio Assistant to join their thriving design practice. They are looking for someone who will ensure that all visitors receive the highest level of customer service and care while supporting the smooth day to day running of the studio. You will play a vital role in supporting their daily operations with pride and a can-do attitude and a warm and friendly approach to all tasks. You will have a strong attention to detail, be proactive and a problem solver. You will be tech savvy and comfortable trouble shooting IT issues, before needing to escalate them to IT professionals. You will support a busy professional and creative team and provide backup to the Principal’s EA. You will have 1-5yrs experience in a similar role. Experience in the architecture/design industry would be an advantage. Key Responsibilities Manage reception to provide highly professional front-line service to incoming callers and visitors by meeting and greeting, directing them accordingly, taking messages and assisting as much as possible. Assist with client presentations by setting up in-person or online meetings and printing presentation documents. Manage incoming and outgoing mail, couriers, stationery & general office supplies. Project archiving. Assist Management as required including general admin, IT troubleshooting. Assist the Principal with personal, private and property portfolio errands. Provide support to the Finance team as directed (e.g. assist with data input).Ensure that the office, kitchen, bathroom areas are kept clean, tidy and organise. Liaise with and co-ordinate product representatives / consultants and obtain quotations. Assist with the organisation of staff and social events. Skills Confident and welcoming. Highly organised with an ability to prioritise and multi-task. Work with accuracy and attention to detail. Work with minimal direction in a team environment. Be proactive – identify and solve problems before they occur Able to multi-task and work to last minute deadlines Flexibility, willingness to learn, show initiative and be a proactive team player. Intermediate Microsoft Outlook, Word, Excel and Power Point skills with InDesign an advantage. Tech savvy in relation to IT troubleshooting before escalating to IT professionals. Experience with online meetings using MS Teams, Zoom etc. Excellent phone manner and email communication skills. Excellent communication skills both verbal and written. Positive attitude.
