Senior Records Officer For over 150 years, our schools, colleges, early learning centres and out of school care programs, have been an integral part of education in Western Australia. The Role The role of Senior Records Officer belongs to the Records, Information and Library Services team in the Finance, Infrastructure and Digital Technology directorate. We have 5 office campuses across the state and this role will be based at our West Leederville office. This is a full-time ongoing commencing as soon as possible. The Senior Records Officer role is designed to deliver records and information management processes and services to enable Catholic Education Western Australia (CEWA) to effectively access its records assets. The primary accountabilities of this role include: Records Management Adhere to best practice records and information management policies and standards. Work independently and with the Team in delivery of records and information management services, working with functional business classification systems and retention and disposal schedules. Perform daily data administration tasks including routine data maintenance, auditing, quality control and identifying areas for improvement. Experience in records management software will be highly regarded. Conducting annual records sentencing and destruction rounds for large amounts of paper and digital records is a large component of this role. Experience in records disposition will be highly regarded. Provide authorised access to team records by conducting searches, box recalls, and scanning on demand. Independently use the organisational record keeping system and digital technologies to migrate selected paper-based records into the digital realm. Assist the Archivist to provide records management advice to the organisation. Assist the team with the implementation of record keeping projects. Quality Control and Compliance Assist the Archivist to monitor adherence to governance requirements in the records office. Assist the Archivist to monitor and evaluate the quality of the records management processes and practices to ensure the continual improvement of services. With the team, maintain high level of service delivery of records services. With the team, ensure the effective security of CEOWA records. Coordinate and/or conduct regular quality control audits of CEOWA records. Staffing and Resourcing Assist and back-up the Information Officers in mailroom services and records processing. ESSENTIAL: Prepared to support the Catholic ethos in the performance of their duties. Previous experience working in an electronic document, records, or information management Environment. Qualifications in records Management. Experience and skills in Functional records classification. Ability to process and manually handle heavy boxes daily is essential to this role. Experience in disposition of records is essential. Demonstrated high level of written and verbal communication. Excellent level of accuracy and attention to detail. Ability to maintain strict confidentiality. Demonstrate high level computing skills particularly in Microsoft 365. B. HIGHLY DESIRABLE: Experience with cloud base technology and recordkeeping software is strongly preferred. Content manager administration skills are an advantage.
