This role requires someone who can manage workflows, maintain high service standards, and contribute to the ongoing improvement of office processes and systems. Key Responsibilities Deliver high‑quality administrative support across the business, including accurate data entry and process coordination Review and refine office procedures to improve efficiency, accuracy, and service delivery Assist with developing internal policies and operational processes Manage insurance‑related tasks including renewals, documentation, and certificate handling Coordinate proxy forms, filing, address updates, settlement notifications, and access registers Oversee archiving, stocktakes, scanning, and digital filing Facilitate supplier compliance and maintain required documentation Upload and manage insurance certificates and valuations in internal systems Handle general document requests and prepare standard notices and flyers Support onboarding of new schemes and assist with AGM preparation (StrataVote pre‑entry) Understand the Strata Management Contract (SMC) and act within authorised responsibilities Refer correspondence appropriately based on contract authority and ensure correct documentation is attached Maintain professional response times for all correspondence (within 8–48 hours) Ensure all work aligns with relevant legislation, industry standards, and internal policies Apply sound judgement when responding to owners, contractors, and stakeholders Uphold legal and compliance obligations across all office functions Professional Skills Strong written and verbal communication Excellent customer service and interpersonal skills High accuracy in data entry and documentation Effective time management and ability to prioritise Confident with technology, including Microsoft Office and industry software Ability to manage conflict and resolve issues professionally Soft Skills Active listening and emotional intelligence Critical thinking and problem‑solving Positive, adaptable, and resilient approach Outcome‑focused with a continuous improvement mindset Technical Skills High computer literacy Proficiency in Excel, Word, reporting tools, and online communication platforms Training & Certification Willingness to undertake CPD or leadership development if requested by management Experience Minimum 4 Years office management Mandatory: experience working in a strata office Other Requirements Police clearance This position reflects industry standards consistent with SCA (WA) professionalism.
