The key duties of the position include The Executive Assistant (EA) to the Chief Executive Officer (CEO) provides high-level executive support to ensure the efficient and professional operation of the Office of the CEO. This role works closely with the Executive Officer to the CEO, Chief of Staff, and other internal stakeholders to manage priorities, coordinate communications, and maintain the smooth functioning of the CEO's schedule and engagements. As the first point of contact for the Office of the CEO, the EA plays a critical role in managing relationships and impressions with ministerial representatives, senior executives, and other key stakeholders. This position requires discretion, sound judgment, and a high level of professionalism and integrity. Key Duties: Manage communications and correspondence, including triaging incoming requests, calendar invitations, and inbox coordination. Provide diary management and meeting arrangements, ensuring the CEO is provided with appropriate materials for successful engagements. Liaise confidently and negotiate with internal and external stakeholders, maintaining collaborative working relationships. Arrange, coordinate, and reconcile all aspects of travel in line with agency travel requirements. Apply professional knowledge and experience to improve work outcomes and support continuous improvement. Provide secretariat support services, including minute-taking (as required). Handle sensitive information discreetly and always maintain confidentiality. Ensure appropriate record keeping in accordance with agency policies. Undertake other duties to support the Office of the CEO, working closely with the Chief of Staff and Executive Officer. Please note: This role may require interstate travel from time to time.
