About the role As the Client Onboarding Specialist, you’ll own and manage the end-to-end onboarding process for new Business Advisory and Tax Advisory clients. Acting as a central point of contact during the onboarding phase, you’ll coordinate administrative, regulatory and quality management requirements to ensure clients are set up accurately, compliantly and efficiently before transitioning into ongoing service delivery. You’ll work closely with Directors, Managers, Accountants and the Corporate Services team to ensure onboarding aligns with engagement scope, client expectations and Vincents’ quality standards. Key responsibilities Own and manage the end-to-end onboarding process for Business Advisory, Tax Advisory and Superannuation Advisory clients Act as the primary point of contact for clients during onboarding, providing clear guidance on requirements, timelines and next steps Prepare and issue engagement letters, ethical letters, conflict checks and other Quality Management documentation Coordinate Proof of Identity (POI) processes, including meetings, documentation and TFN collection Create and maintain accurate client and entity records across APS and CRM systems Ensure clients and entities are onboarded to relevant systems and portals, including the ATO Portal and CAS Collate, review and finalise onboarding packs once all documentation is completed and approved Liaise with internal stakeholders to ensure onboarding aligns with engagement scope and client expectations Support compliance with AML/CTF obligations, including Tranche 2 requirements effective from 1 July 2026 About you You’re highly organised, detail-focused and confident working with clients and internal stakeholders. You’ll also bring previous experience in an administrative or client onboarding role within an accounting, tax or professional services environment, strong proficiency in Microsoft 365, and familiarity with APS, CAS, CRM systems and government portals.
