About the role We are seeking a Senior PA & Administrative Assistant to provide high-level support to our Brisbane-based Forensic & Commercial leadership team while keeping the team running efficiently. This role is critical to ensuring seamless client service, coordinating complex workflows, and supporting our leaders to anticipate challenges, manage priorities, and drive team cohesion. You will combine executive-level support with advanced team administration responsibilities, making this a pivotal role in the day-to-day success of the Forensic Commercial team. Key Responsibilities PA Support Act as a PA to a small group of Directors. To understand the services provided by the Commercial Forensic division and premeditate the professional needs of the Director group. Be a professional point of contact for clients, referrers, Directors and other Business Units within the firm. Support leaders in managing competing priorities, anticipating and resolving issues, and smoothing workflows. Assist Directors, where required, in managing calendars, meetings, and emails in a fast-paced, client-facing environment. Assist in managing marketing endeavours for the team, including coordination of training presentations, workshops and conferences, and proactively identifying opportunities to build and maintain professional connections. Prepare meeting materials, briefing notes, client correspondence, and marketing/training presentation decks. Coordinate and attend team and Director meetings including organising a clear agenda, maintaining clear and accurate minutes, and circulating and following up action points as required. Senior Administration / Team Support Manage client onboarding and exit processes, including CRM updates and engagement documentation. Establish and maintain accurate client records. Assist with preparation and collation of forensic reports and other relevant deliverables. Liaise with clients and referrers, as required. Coordinate recruitment, onboarding, and administrative support for the team, as required. Facilitate workflow, ensuring deadlines are met, and priorities are clear. Support process improvement initiatives by creating templates, operational guides, and standard procedures. Proactively manage internal processes and tasks, holding team members accountable and ensuring deadlines are met. Assist in the organisation of team social and professional development events. About you Demonstrated experience in a senior administrative or PA role, ideally within professional services, forensic, legal, or accounting environments. Advanced technical skills: Microsoft Office suite, CRM systems, and document management. Familiarity with Microsoft Teams. Exceptional organisational, communication, and interpersonal skills. Proactive, solution-focused, and able to anticipate problems before they arise. Skilled at managing up, building team cohesion, and working with diverse personalities. Professional, discreet, and committed to delivering excellent support to leaders, clients, and the wider team.
