As a full-time Office Manager, you will be responsible for overseeing the administrative operations of our professional services firm. The successful candidate will be responsible for ensuring the efficiency of daily office functions, providing executive assistance to the Director, supporting the team, and managing key compliance systems and workflows. This role is critical to maintaining effective client service delivery, practice management, and internal process compliance. Your Key Responsibilities will include: ● Manage and maintain accurate client records and information using internal databases and external portals. ● Maintain and update internal policies and procedures to ensure compliance with industry standards and continuous improvement. ● Provide administrative and operational support to team members to promote effective collaboration and timely task completion. ● Deliver high-level executive and personal assistance to the Director, including calendar management, meeting coordination, and confidential task support. ● Oversee practice workflow and ensure the timely completion of client work and internal processes. ● Ensure regulatory compliance by managing timely lodgments and updates across internal databases and government portals. ● Prepare and review client correspondence and documentation. ● Manage all aspects of office administration, including record-keeping, filing, phone and email communication, and maintaining a well-functioning office environment. ● Maintain and update software tools and IT systems and liaise with service providers for hardware/software troubleshooting and upgrades. ● Coordinating personnel activities such as hiring, promotions, performance management, payroll, training and staff supervision. ● Monitor and manage practice debtor accounts, including invoicing, collections, and reconciliation tasks. Skills & Qualifications: ● A qualification in Business Administration, Management, or a related field (or equivalent experience). ● At least 3 years of experience in an office management, administrative, or executive support role. ● Proficiency in office software and practice management tools. ● Excellent verbal and written communication skills. ● Strong organisational and time management abilities. ● High attention to detail and ability to handle sensitive information confidentially. ● Experience supporting a leadership team or Director preferred.
