New agency – small but dynamic (20 staff) Vacant role, opportunity for extension and/or permanency Woden location – some WFH options The Role The Executive Assistant (EA) reports to the Executive Service Officer (ESO) and will be required to work under general direction in undertaking tasks of moderate complexity. The EA is accountable for organising their individual work and making decisions within defined parameters relating to the area of responsibility. Duties within the Executive Assistant’s role include, but are not limited to: Providing high level administrative support, including the coordination of meetings with internal and external stakeholders, email management and ensure Executive have all required information for meetings Arranging travel arrangements, including supporting documentation and financial reconciliation for a Band 1, Agency Executive Director and Agency staff, as required Coordinating a range of events and business/committee meetings including leading logistics to support the running of the event, organising itineraries, booking travel, accommodation, venues and catering Assisting in secretariat duties, including minute taking and preparation of papers as required General office management and operation of the Canberra premises including maintaining office supplies and liaison with the Corporate Team to manage equipment leases, and with the building management and oversight of the telephone system Maintaining confidential and sensitive information, including records, in accordance with agency policies and procedures Developing and maintaining strong working relationships with a range of internal and external stakeholders Other duties as required for the Executive Support Section The Ideal Person You will be friendly and influential with the ability to confidently liaise across senior staff and external bodies. Working in such a small agency (20 FTE), you must be collaborative and a team player. You will need to be up for a challenge, with the ability to work across competing deadlines and provide support to multiple areas at once. Your time management and organisation skills will be paramount in this role. In addition, you will be able to work in a fast-paced and fluid environment and be adaptive to change. You must have previous experience as an Executive Assistant in either the private sector, or a Government Agency.
