We take on the impossible, and achieve outstanding results. The Opportunity As our full-time, permanent Team Assistant, you’ll support our progressive and authentic firm as we right wrong. Reporting to our Chief Marketing Officer, and based in our Brisbane CBD head office , in this newly created role you’ll be responsible for providing administrative and operational support across the marketing and client service function at Shine. Your responsibilities will span all facets of team support, including expense management, web and digital administration, event coordination, stock management and distribution, as well as supporting the Chief Marketing Officer with coordination of the team and program. Critical to keeping our marketing and client service team ticking, you’ll coordinate team meetings, manage central inboxes, actioning tasks and triaging them to marketing team members. You’ll keep the department work in progress and campaign calendars updated, coordinate team activities, and manage the team awards and incentive programs, as well as support the coordination of the media training program. You’ll also manage our contact directory for suppliers and affiliates, as well as maintaining our log of contracts and agreements. Your attention to detail will be valued, as you produce a variety of reports and presentations in Excel, Work and PowerPoint, including our monthly, quarterly and half-year marketing and client service reports. You’ll work with our in-house teams such as corporate services and human resources, coordinating matters such as updating branch signage and front of house experiences in our offices. This role is suited to a seasoned support professional, with experience supporting a busy team, who has experience processing invoices, and maintaining reports. You’ll be mature-minded, have a strong understanding of confidentiality, and excellent relationship building skills to assist you with coordinating cross department initiatives effectively. What you’ll bring. To thrive in this role, you’ll have: Proven success in an administrative role, supporting a busy large team. Executive assistant or office manager experience will be highly valued. Previous experience in expense management, in an environment with large expense budgets, using expense processing systems. Intermediate skills Microsoft Excel, PowerPoint and Word – you can create a PivotTable, update a PowerPoint template, and produce a professional report in Word. Ability to work collaboratively or independently, to prioritise work requirements, work autonomously when appropriate, consult appropriately and respond to direction in a fast-paced environment. A strong client service focus, with relationship building skills to coordinate actions across teams. A high level of attention to detail. Highly developed interpersonal and communication skills, both written and verbal. Demonstrated analytical and problem-solving skills. Event management experience, along with exposure to working in a marketing or professional services environment, is desirable but not essential for success. Shine Lawyers: A place for you.
