We are seeking a highly organised, professional, and proactive Business Operations Coordinator to provide high-level support to our executive leadership team while overseeing the smooth day-to-day operation of our Geelong office. What you’ll do Provide high-level executive support to the CEO and Leadership Team, including calendar management, travel coordination, meeting preparation, reporting, expense management, and administrative support for projects and business initiatives. Build and maintain effective relationships with internal and external stakeholders, coordinating site visits and supporting corporate affairs and external engagement activities. Support Board and governance processes, including meeting coordination, Board documentation, Director liaison, and maintenance of governance records. Oversee day-to-day office operations, including reception, visitors, contractors, supplies, mail, meeting logistics, internal communications, and continuous improvement of office systems and processes. Coordinate facilities and office services, including contractors, service providers, purchase orders, invoices, records management, and office resources. Plan and deliver meetings, events, workshops, functions, and catering requirements. Maintain accurate, secure, and confidential records, ensuring compliance with document control and retention requirements. What you'll bring Qualification in Business Administration or a related discipline. Proven experience providing executive support to senior leaders and coordinating office operations, with exposure to Board administration or corporate governance. Exceptional organisational, planning and prioritisation skills, with the ability to manage multiple competing tasks and deadlines, including across international time zones. Strong problem-solving, analytical and communication skills, with advanced proficiency in Microsoft Office. High attention to detail, accuracy and the ability to maintain strict confidentiality when handling sensitive information. Proactive, self-motivated and solutions-focused, with the ability to work both autonomously and collaboratively in a fast-paced environment. Professional, approachable and customer-focused, with a demonstrated commitment to accountability, reliability and delivering high-quality outcomes.
