Role Highlights Coordinate a diverse portfolio of College events that bring our community together and enhance the All Saints' experience, including 50 community events – Pasar Malam Twilight Markets, School Holiday Program, student celebrations, Valedictory Dinner, Christmas Events, internal staff events parent and alumni functions. Lead the planning and delivery of the College's highly regarded School Holiday Program, creating engaging experiences for children and families across the wider community. The Role Reporting to the Manager Events and Community, the Event Coordinator plays an important role in fostering a connected and engaged College community through the planning, delivery and evaluation of a diverse range of events and community initiatives. This hands-on role is responsible for coordinating high-quality events that support student, parent, staff and prospective family engagement while ensuring alignment with the College's strategic priorities and values. Working collaboratively across the College, the Event Coordinator brings ideas to life, delivers exceptional event experiences and contributes to the welcoming and vibrant culture that makes All Saints' College unique. The position combines event planning, stakeholder engagement, administration, communications and continuous improvement. Key Responsibilities: Coordinate the planning, delivery and evaluation of College events and community initiatives. Lead the planning and operational delivery (end-to-end) of the College’s highly regarded School Holiday Program, including budgeting, supplier management, registrations and risk management. Develop and maintain event plans, timelines, risk assessments and operational documentation to support successful event outcomes. Coordinate suppliers, contractors, volunteers and service providers to deliver high-quality event experiences. Champion exceptional stakeholder experiences across all events and community initiatives. Maintain event management systems, registrations, records and compliance documentation. Support community engagement initiatives and partnerships with alumni, parent organisations and other key stakeholder groups. Monitor event performance, analyse feedback and participation data, and identify opportunities for continuous improvement. Provide on-the-day event coordination, including logistics and issue resolution. About You You are an enthusiastic and highly organised events professional who enjoys bringing people together through engaging and meaningful experiences. You are equally comfortable managing logistics behind the scenes as you are building relationships with stakeholders and representing the College with professionalism and warmth. Qualifications in Event Management, Hospitality or a related discipline, or equivalent industry experience. Demonstrated experience coordinating events from planning through to delivery and evaluation. Strong organisational and project management skills, with the ability to manage multiple and competing priorities and deadlines. Excellent written and verbal communication skills, with the ability to engage effectively with a diverse range of stakeholders. Demonstrated experience managing event logistics, including coordinating suppliers, contractors and operational requirements. Strong administrative and organisational skills with exceptional attention to detail, including experience using Microsoft Office applications (Word, Excel and PowerPoint). Knowledge of event risk management and compliance requirements. The ability to work independently while contributing positively within a collaborative team environment.
