About the role Essential Network Solutions PTY LTD is seeking a Scheduling Administration Assistant to join our team in Burleigh Heads, QLD. This is a full-time position that plays a crucial role in supporting the smooth operation of our business through efficient scheduling and administrative coordination. We’re looking for a strong team player who’ll be working closely with the Regional Scheduler and reporting to the Admin Team Leader. You’ll own your region’s admin and customer-contact load, keeping the email inbox under control, looking after customers on the phone, checking technicians are on track to complete their all scheduled appointments, apply your initiative to advise where techs are ahead of their workflows to pick up extra jobs, and making sure life support and new connection jobs are locked in before the end of each day. This is a very fast paced, deadline driven role. It will suit someone with excellent communication, strong initiative, sharp administration skills and confidence on a computer who takes pride in getting the details right. Key responsibilities Managing your regional inbox, responding to customers and partners and flagging urgent items with your Scheduler. Monitoring & actioning the job reschedule tracker. Handling inbound calls and working the contact sheet, booking, confirming and rescheduling jobs by phone, SMS and email. Running technician check-ins through the day so every job is attended or moved before close of business. Double checking life support and coordination jobs are scheduled. Making sure new connections are checked and completed or rescheduled by COB. Preparing cancellation and additional details, reports, tagging jobs and keeping accurate records. Assist with guiding your region’s offshore caller and backing up the wider admin team when needed. What we're looking for Excellent communication and a warm, professional phone manner. Demonstrated ability to work independently and as part of a team Strong administration skills with great attention to detail under deadlines. Outstanding communication skills, both written and verbal, with the ability to liaise effectively with staff at all levels Confident & proficient in Microsoft Office Suite (particularly Outlook, Excel, and Word) Excellent organization skills & ability to recognise priorities so you can juggle a busy inbox, a contact list, recognise urgent matters & shift through priorities without dropping the ball. High level of discretion and ability to handle sensitive or confidential information appropriately Reliability, discretion, and a real team player attitude. A proactive approach to problem-solving and the ability to anticipate scheduling issues before they arise Bonus points for experience in scheduling, energy/ metering, field services or a contact centre, and familiarity with retailers like AGL, Origin, Alinta or Red Energy.
