About the Role We are seeking a highly organised and proactive Operations Administration Officer to provide critical administrative, executive and operational support to our Operations and Maintenance division. This is an excellent opportunity for an experienced Executive Assistant, Administrative Assistant or Operations Coordinator who enjoys variety, takes ownership, and thrives in a fast-paced operational environment. Reporting to the Operations and Maintenance Managers, you will help keep our field operations and maintenance teams organised, mobile and well supported. Your work will directly contribute to site performance, logistics efficiency and operational continuity across Australia. Key Responsibilities Provide executive support to the Operations Manager, including calendar coordination, travel arrangements, meeting minutes and presentation preparation. Raise and manage purchase orders within authority limits. Support monthly stocktakes, reconciliations and accurate recordkeeping. Coordinate internal transfers of goods between JOHNEX explosives sites. Coordinate delivery of goods to remote sites across Australia, including freight, supplier and urgent operational requirements. Support client site onboarding and mobilisation requirements. Maintain asset registers and track equipment location, condition, repairs and replacements. Ensure vehicle licensing is current and support warranty claims where required. Support maintenance planning, scheduling and coordination. Maintain the Field Operations organisation structure so employee, position and location information remains current. Prepare operational and customer reports on a monthly and quarterly basis. Assist with travel, rosters, accommodation logistics, employee expense claims and internal documentation. Oversee the administration of Company housing across Western Australia and New South Wales. You'll Bring Previous experience in an administrative support, executive assistant, operations assistant or coordinator role. Exposure to purchasing and inventory systems, ideally MYOB Greentree or a similar ERP platform. Strong proficiency in Microsoft Excel, Outlook and PowerPoint. Excellent attention to detail, communication and follow-through. The ability to coordinate competing priorities, meet deadlines and stay organised under pressure. A practical, flexible approach and confidence working in a dynamic, changing operational environment. A proactive mindset, with the ability to anticipate needs, solve problems and keep teams moving.
