Kleen Genie is looking for a confident, organised and proactive Operations Scheduler to become the operational engine of our business. If you have experience scheduling technicians in a trades or field service environment and enjoy keeping jobs, people and systems running smoothly, this is the role for you. This position is full time and office-based to begin with to ensure strong onboarding and training. Once established and confident in the role, some flexibility for work-from-home days may be available. About the Role You will be the central coordination point between customers, technicians and the workshop. Your ability to manage schedules, communicate clearly and stay on top of systems will directly impact the success of our daily operations. This is not an entry-level admin role. We are looking for someone who understands the pace and urgency of a trades business. Key Responsibilities Scheduling & Customer Coordination Managing emails for quotes and job enquiries Scheduling field technicians across Brisbane Preparing and sending quotes Answering incoming calls professionally Managing job changes and urgent bookings Financial & Job Administration Raising invoices Following up outstanding payments Ensuring job documentation is accurate and complete Workshop & Operations Support Ordering workshop parts and consumables Keeping Fleetio updated (vehicles, servicing and equipment tracking) Maintaining ServiceM8 accuracy and Knowledge Centre updates Coordinating technician weekly check-ins Preparing toolbox meeting documentation Maintaining organised Google Drive systems Light People & Compliance Administration Updating Employment Hero (inductions and compliance tracking) Assisting with performance review tracking Note: Some HR-related duties may transition out of this role as the business grows.
