Key Responsibilities Contract & Subcontract Management Administer subcontracts across multiple trade packages from award to close-out, including scope review, letting, and novation where required Prepare and issue subcontract documentation, work orders, and variations in accordance with project and head contract requirements Review and assess subcontractor claims, progress payments, and invoices; process in line with contractual entitlements and payment schedules Identify, draft, and negotiate variations — both upstream to the client and downstream to subcontractors — ensuring accurate scope and pricing Commercial & Cost Control Maintain cost reports, forecasts, and trade package budgets throughout the project lifecycle Track committed costs, accruals, and exposure items; flag risks early to the Project Manager Support monthly project reporting including cost-to-complete, margin analysis, and cash flow Assist in the preparation of progress claims to head contract clients (including government clients under AS 4000, AS 4902, or similar) Head Contract Compliance Ensure contractual obligations are met — including notice periods, RFI registers, and extension of time (EOT) submissions Maintain accurate and timely project correspondence, ensuring a clear contractual paper trail Assist with the preparation and management of claims under the Security of Payment Act (WA) Liaise with clients, consultants, and superintendents professionally and in accordance with contract requirements Administration & Compliance Support project close-out activities including defect liability period administration, final accounts, and retention releases Ensure all project documentation is filed, tracked, and accessible in accordance with company systems Requirements What You'll Bring Experience & Qualifications 2–5 years' experience in a Contract Administrator or Contracts Administrator role within the building and construction industry Tertiary qualification in Construction Management, Quantity Surveying, or a related discipline (preferred) Demonstrated experience administering AS-series contracts (AS 4000, AS 4902) and/or government-form contracts Working knowledge of the Building and Construction Industry (Security of Payment) Act 2021 (WA) Exposure to both commercial and government project environments is highly regarded Skills & Attributes Strong commercial acumen with a solid grasp of cost reporting, forecasting, and margin management Confident in drafting and negotiating variations, EOT claims, and contractual correspondence High attention to detail with the ability to manage competing deadlines across multiple packages simultaneously - you'll be working on 2-4 projects at any given time, with values between $500,000 to $3M each Proactive communicator — able to engage effectively with subcontractors, clients, and internal teams Proficient in Microsoft Office Suite; experience with construction management software (Procore, SimPRO, or similar) advantageous Self-motivated, organised, and able to work both independently and collaboratively within a project team Benefits Benefits Milestone Holidays: Enjoy a company-funded holiday after 5 and 10 years of service, including $5,000 towards your trip and an extra week of annual leave (conditions apply).
