Our established specialist medical practice is looking for a friendly Receptionist to join our team. If you are reliable, possess excellent attention-to-detail, and committed to helping patients, this position is for you! Hours are negotiable within the needs of the practice, up to a maximum of 36 hours per week, or with reduced options to suit the right candidate if preferred. A suitable and predictable roster will be established to provide certainty of hours and expectations, with minimal variation expected. Our Receptionist will play a vital role in providing a great experience for our patients and keeping our busy clinic days running smoothly. We are looking for someone who can juggle customer service while performing accurate and timely data entry and admin tasks. With multiple providers in our clinic, this position is a vital part of ensuring the day flows smoothly, anticipating the needs of patients and providers' and ensuring everyone is prepared for each appointment. About this role: Customer service: The primary receptionist across phones, in-person greetings, and online enquiries. You will set the first impression for our practice and be the most consistent contact point for our patients. Tasks include booking appointments, processing payments, reconciling cash and eftpos transactions, and selling products. You will follow-up patient requests externally (such as contacting clinics for referrals or paperwork) and internally. Ability to ask questions and take accurate and complete messages for follow-up is essential. Also requires proactive contact - phoning patient referrals and chasing payments and paperwork. Reception flow and presentation: Ensuring each day runs smoothly - such as setting up the office, preparing patient paperwork, anticipating patient and provider needs, and maintaining time awareness to set expectations or re-organise appointments if running late. You will also need to be mindful of office presentation - keeping the waiting area tidy, re-stocking products as needed, and dusting shelves. Medical administration: Attention-to-detail is imperative as you contribute to patients' medical records through data entry, checking paperwork, keeping notes, and filing and maintaining medical records. General office tasks: Buying and ordering some office supplies, sorting and posting mail, making deliveries, etc. Supporting the team: Every member of our team plays a vital role in the success of our practice and delivering a smooth, comfortable, and safe experience for our patients. Time-management skills : Able to juggle multiple tasks during high-volume clinic days and be self-motivated to work productively on less urgent administrative tasks when it's quiet. Effective use of quiet time is essential to ensuring clinic days run smoothly. Trustworthy: Recognise the importance of patient and business confidentiality and working within a sensitive medical environment. This role is not suited to someone who prefers an informal work environment and is only looking for reactive customer service responsibilities. Managing a workload of non-urgent, non-reactive tasks is a significant part of this position. About our clinic We are a long-established suburban medical practice that has been operating in North Queensland for several decades. We have multiple specialist surgeons as well as other treatment and service providers. We aim to provide an excellent standard of care and service that reflects the private fees that our patients pay. You will be part of a support team of approximately 10-staff, answering to our Practice Manager and Surgeons. Our staff have an average of 7 years working with our clinic, reflecting our long-standing reputation and stable work environment. This includes experienced receptionists that you will be working alongside. We're looking for someone who enjoys working in the medical field - learning the diverse range of services that our providers' offer is essential to ensuring our patients get the help they need and that appointments are allocated and booked correctly. Our Practice uses Gentu practice management software. Any experience with this software should be highlighted.
