About the Role This is a central coordination role within our operations team, responsible for keeping maintenance and service jobs moving smoothly from request through to completion. You’ll be the person who helps bring order to a diverse and often fast‑moving workload, balancing scheduling, trade allocation, materials and communication. While formal qualifications aren’t essential, this role does suit someone with general, practical understanding of how building and trade work comes together. This understanding might come from a range of backgrounds, including hands‑on experience, renovation projects, or related industry roles. You don’t need to know everything on day one. On‑the‑job learning is expected and supported. What matters most is sound judgement, willingness to learn, and the confidence to ask the right questions. What You’ll Be Doing Service Workflow & Scheduling Enter, prioritise and manage jobs in Aroflo, the cloud based management system we use Schedule and coordinate company technicians and external contractors Balance workloads, deadlines and changing daily priorities Ensure technicians are prepared before attending site Participate in a shared after‑hours phone on‑call roster, typically one week every 4–5 weeks, assisting with urgent issues and engaging appropriate contractors. All on‑call time and any after‑hours work is paid. (Experience with Aroflo, Simpro or similar systems is helpful but not essential, if you’re reasonably IT‑savvy, you’ll pick it up quickly.) Building & Job Coordination Review incoming job requests and interpret job scopes Decide how work should be allocated, in‑house technicians vs specialist trades Clarify job details using appropriate building and maintenance terminology Track progress and follow up on outstanding actions Assist with rough assessment of job size or value when coordinating and allocating work In simple terms, this role involves practical decisions like: A reported roof leak, can it be handled by our in‑house team, or does it need a roofing specialist, or is it a leak caused by an Air Conditioning system A maintenance issue in regional WA, do we send one of our technicians, use a local builder, or engage a specialist trade? An electrical issue caused by a roof leak, who attends first, and why? Procurement & Materials Source and order materials required for works Raise purchase orders and manage approvals Coordinate deliveries so technicians have what they need on site Follow up suppliers to avoid delays Communication & Administration Daily communication with technicians, suppliers and clients Maintain clear job notes, photos and documentation Confidently manage phone calls and shared inbox enquiries Deal professionally with busy, demanding or sometimes frustrated people, with patience and calm What We’re Looking For What Will Help You Succeed General understanding of building, maintenance or trade environments Ability to work out who should attend a job and why Strong organisation, follow‑up and prioritisation skills Comfortable working in a fast‑paced service environment (some days busy, some procedural) Clear phone manner and professional communication Practical mindset, problem‑solving approach and good judgement Your Background Might Include Trade, construction or maintenance coordination Building or contracting administration Strata management or facilities support roles Real estate leasing, property services or operations admin Owner‑builder experience, renovations or fit‑outs Any role where you’ve liaised between trades, clients and schedules This role is best suited to someone who enjoys coordination and progression, it is not a project management or facilities management role.
