Personal Assistant / Sales Associate – Marleen Cleary Coastal Property Agents | Paradise Point, Gold Coast Full-Time | Real Estate & Property Coastal Property Agents is seeking an experienced and proactive Personal Assistant / Sales Associate to support Marleen Cleary, a high-performing real estate professional based in Paradise Point. This role is ideal for a licensed real estate professional who thrives in a fast-paced environment, enjoys client interaction, and takes pride in delivering exceptional service across every stage of the sales process. About the Role You will play a critical role in the smooth operation of Marleen’s business, managing administration, prospecting activities, database management, marketing coordination, and on-the-ground support from listing through to settlement. This is a hands-on role requiring strong organisation, initiative, and confidence in client communication. Key Responsibilities Team & Administration Support Manage diary, appointments, and day-to-day operations Action tasks and correspondence via email Assist with general administrative and ad hoc duties as required Database & Prospecting Ongoing clean-up and management of the Vault database Manage a 12-week resident notice letter cycle (updated and completed weekly) Coordinate direct letter cards (hand delivered) for every listing and sale Input call notes, appraisal follow-ups, and client activity into Vault Set up alerts, reminders, and action plans Buyer & Lead Management Follow up buyer enquiries from realestate.com.au Call past buyers to confirm current status and update records Manage bulk SMS, weekly e-news, campaign and seasonal communications Marketing & Social Media Handle all social media posts, promotions, and online presence Order flyers weekly and liaise with flyer delivery company Coordinate mail drops and ensure weekly delivery completion Listings & Sales Support Prepare CMAs, recent sales spreadsheets, and listing documentation Coordinate photography, floor plans, copywriting, drone, video, keys, and alarms Meet suppliers on site and take detailed property notes Attend open homes and auctions when required Inspections & Settlement Attend building and pest inspections, liaising with inspectors and buyers Purchase, prepare, and arrange settlement gifts for clients Training, Innovation & Growth Participate in sales training and team meetings Document procedures and manage weekly action items Contribute to continuous improvement and innovation within the team About You Current QLD Real Estate Sales Person Licence (essential) Highly organised with strong attention to detail Confident communicator with excellent client service skills Proactive, reliable, and able to work autonomously Comfortable with CRM systems (Vault experience highly regarded) Flexible to attend Saturday open homes when required How to Apply Apply via SEEK with your resume outlining your experience and licence status.
