Position Summary : The Client Services Officer provides essential administrative and operational support to Financial Advisers and clients, ensuring the smooth and efficient delivery of financial advice services. This role acts as a key point of contact for clients, assisting with enquiries, documentation, and service requests while maintaining a high standard of professionalism and responsiveness. The Client Services Officer plays a critical role in managing client records, processing applications and scheduling meetings. Key Requirements : Previous experience in financial services administration (preferred). Understanding of financial advice processes and terminology. Strong organisational and communication skills. Strong attention to detail and accuracy in data entry, document preparation and file maintenance; able to identify and correct errors before submission. Strong organisation and time management; manages multiple tasks, meets deadlines and follows up actions to completion. Client service focus; handles requests promptly and maintains professionalism. Discretion and confidentiality when handling client information; follows internal procedures and documentation standards. Job Responsibility : Act as the primary point of contact for client enquiries, responding professionally and within required timeframes. Prepare and process client documentation and application forms accurately and efficiently. Assist with onboarding new clients, including collecting required information and supporting the setup of client records. Maintain and update client records to ensure accuracy, completeness, and consistency with internal documentation standards. Support advisers with meeting preparation, including coordinating required documents and information ahead of meetings. Manage follow-up actions after meetings, ensuring agreed tasks are progressed and completed within expected timeframes. Schedule meetings, manage confirmations, and coordinate any pre-meeting requirements with clients and advisers. Ensure compliance with internal procedures and regulatory requirements relevant to documentation handling and client administration.
