About Us When people talk about the Flying Doctor, thoughts generally turn to red-bellied planes undertaking rescue missions in the Outback. However, the current Victorian story is one that reﬂects today's challenges for people living in remote and rural communities across the state. While we do still transport people by air and by road, this work is complemented by a range of primary health services that address the most common issues people living in country Victoria face when accessing health care. About the role: As our Executive Office Assistant, you’ll play an important role in supporting the Executive Advisor and CEO while learning the foundations of high‑level executive support. If you have had a couple of years admin experience and are looking to grow your skills on the way to becoming a high performing Executive Assistant this is a great role for you You’ll help keep the Office of the CEO running smoothly by assisting with scheduling, travel coordination, preparing documents, meeting deadlines, and handling day‑to‑day admin tasks. You’ll also support the general operations of our corporate office, helping maintain an organised and productive environment. This role is perfect for someone who enjoys being the go‑to person, can stay one step ahead, and is keen to build their skills in a fast‑paced, professional setting. Key responsibilities include but not limited to: • Provide administrative support to the Executive Advisor, including preparing documents, agendas, briefing materials, research, and coordinating deadlines. • Assist with CEO diary and travel coordination, gaining exposure to high‑level executive support. • Support general office operations such as calls, maintenance, supplies, mail, couriers, fleet, and archives. • Manage corporate supplies and assist with catering, visitor coordination, and volunteer support. • Help organise board events, dinners, and Director First Program activities. • Coordinate travel for board members and visitors and maintain accurate CRM/SRM records. • Assist with invoicing and contract administration for the Office of the CEO. • Provide occasional support to other C‑Suite executives during leave periods or peak times. Note: This role may require occasional travel to RFDS locations across Victoria. What we are looking for: • Someone with 2–3 years’ experience in administration or office support who’s ready to take the next step toward becoming an Executive Assistant • A proactive, switched‑on professional who enjoys working in a fast‑paced, dynamic environment • A natural organiser with strong attention to detail and the ability to keep things running smoothly • Confident communication skills and the ability to build positive relationships across the business • A calm, steady presence who can manage competing priorities without getting flustered • Someone who shows initiative, works independently, and takes ownership of tasks from start to finish • Flexibility to occasionally support the Office of the CEO outside standard business hours when needed • A willingness to learn how to develop policies and procedures, conduct research, and prepare reports • A problem‑solver who enjoys finding better ways of doing things and contributing to continuous improvement What working at RFDS can offer you: • Access to salary packaging options to reduce your taxable income • Fitness passport – a discounted gym membership to gyms and pools that both you and your family can enjoy • Five non-accruable Office Closure Leave days each year.
