Job Title: Representative, Facilities Job Description Are you a warm, welcoming individual who enjoys being the first point of contact and keeping an office running smoothly? We are looking for a Facilities Representative for our Ballarat site. This is a permanent part‑time, on‑site role , commencing ASAP , working days ideally including Monday, Friday, and one self‑selected day each week . You can choose to work either 7am–3pm or 8am–4pm . No two days will be the same. You will enjoy multi‑tasking, being organised, and helping ensure the site operates efficiently. This role is the first point of contact for all visitors and employees, with a mix of reception and administration responsibilities. Who are we looking for? Someone friendly and approachable, with the ability to build relationships across the site Strong planning, time management, and coordination skills Friendly and clear communication skills Prior customer service experience Previous experience with basic invoice or expense reconciliation Ability to work independently and confidently problem‑solve, your Facilities Manager is based in Brisbane and may be in different time zones Previous workplace health and safety experience is a bonus What your day-to-day could include: Welcoming visitors and handling reception duties Managing the site credit card, including following the correct process, ensuring approvals have been received, and completing the monthly reconciliation with the required documentation Working with the Facilities Manager to ensure the site meets compliance requirements — for example: Ensuring there are enough first aiders and fire wardens Quarterly first aid kit checks Monthly building inspections and documentation Maintaining incident reporting records Supporting the site’s sustainability practices Ensuring the site is well‑maintained, reporting issues promptly, and coordinating with the appropriate contractors when required Managing stock levels and deliveries such as milk and fruit for employees Organising access badges for new starters and conducting site tours What’s in it for you?
