About the Role As our Assistant Facilities Coordinator, you’ll support the day‑to‑day running of our office and help create a workplace where people feel supported, safe, and comfortable. Working closely with the National Facilities Manager and Senior Facilities Coordinator, you’ll assist with facilities requests, coordinate contractor activity, and help ensure everything runs smoothly across the office. This is a hands‑on role - ideal for someone early in their facilities or workplace services career who enjoys variety, organisation, and helping others. We are also open to applicants from hospitality, front-of-house, events, retail and customer service backgrounds who want to step into a corporate facilities environment. Key Responsibilities will include. Facilities Support Assist with scheduled and ad‑hoc maintenance requests by helping coordinate work, track progress, and ensure tasks are completed efficiently Arrange access for trades and help coordinate site visits Direct contractors to the correct work areas across multiple floors Follow up with contractors to confirm work completed and identify if further work or quotes are required Respond to staff requests via ServiceNow and help raise or track jobs through the JLL Prism system Prepare access cards for new starters and collect cards from leavers Take part in regular office walk‑throughs with the cleaning supervisor to identify issues or improvements Workplace Safety Keep safety information and signage (Fire Wardens, First Aid, Mental Health) up to date Assist with contractor inductions and ensure required insurance and WHS documentation is on file Help coordinate First Aid and Fire Warden training sessions, and notify staff of upcoming courses and annual evacuation exercises Support the team with maintaining WHS records and compliance activities Space & Desk Set‑Ups Assist with desk moves, team relocations, and changes to office layouts Prepare relocation packs (boxes, labels, instructions) for staff Ensure new starter desks are clean, set up, and ready Liaise with IT to ensure new starters have the required equipment Supplies & Invoices Help order and restock office and facilities supplies Check deliveries and store items correctly Assist with checking, coding, and processing invoices Reception & Meetings (as needed) Provide cover at reception when required, welcoming visitors and clients Book meeting rooms and ensure they are clean, tidy, and set up with water, glasses, and chairs Reset rooms after meetings and return catering items to the café Events & Catering (as needed) Assist with setting up and packing down meeting rooms and events Support the Catering Manager with staff events and internal functions About You You enjoy being part of a busy workplace and take pride in keeping things organised and running smoothly. You have a helpful, can‑do attitude and you’re always willing to get involved. This role involves a mix of desk work and moving around the office to conduct checks, support set‑ups and assist with events - including light lifting - so you’ll be comfortable with a role that involves a blend of those activities You’ll also bring: Entry‑level or 1–2 years’ experience in facilities, workplace operations, hospitality, events, retail, office coordination or similar Strong verbal and written communication skills and a friendly, professional manner Good attention to detail – you’re someone who takes pride in doing things properly Comfort learning new systems and following established processes. Comfort with basic systems such as Outlook, Word, and Excel (experience with facilities or ticketing systems is a bonus) An understanding of workplace safety and the importance of WHS compliance Desirable A Diploma in Facilities Management or a related field is beneficial but not essential.
