ABOUT THE COMPANY: Hudson Jones Recruitment are exclusively partnering with one of Melbourne’s leading formwork and concreting companies, looking for an Office/Admin Manager to look after day-to-day office and administrative duties. Working closely with senior management, the Office/Admin Manager will be responsible for taking ownership of all administrative duties and play a pivotal role in ensuring day to day back-office operations run smoothly and efficiently. ABOUT THE OPPORTUNITY: No day will be the same, but in summary, the core duties of this role will be to; Provide high-level office administration support (that may include reception duties and answering incoming phone calls from clients). Act as a key point of contact for all office/admin queries. Support sales and aftersales teams with administrative requirements. Accounts management, including reconciliations, invoicing, purchase orders, and reporting. Bring new ideas that will contribute to streamlining existing processes, and aide in creating more effective and efficient ways of running the day-to-day office and admin operations. Maintain a high proficiency in multitasking in order to manage tight deadlines. Identify any existing process inefficiencies and implement practical solutions that enhance operations and drive productivity. Support senior management with coordinating bookings, trades, subcontractors, and suppliers. ABOUT YOU: You will have: Proven experience as an Office Manager and/or Admin Manager (or a Hybrid of the 2), in a similar role within Construction (preferred, but not essential). Exceptional organisational and time management skills with the ability to juggle multiple priorities at once. Experience with Xero accounting software (essential). A background working in a team environment, and happy to work as part of a team, but also confident working autonomously. Experience operating with a client first mindset, and confident engaging politely and professionally with external clients and suppliers. Effective relationship building and communication skills, with a customer service mindset. A happy and lively demeanour, who thrives in working in a busy and supportive environment.
