This role will be based at our Federal Mills office in North Geelong, supporting our VIC Sales team and major infrastructure projects across the state. The opportunity We are seeking a highly organised and detail-driven Contracts Administration Assistant to join our VIC Sales team. In this full-time role, you will provide essential support to contract administration and finance functions, ensuring accurate, compliant and timely processing of project documentation and payment claims. You will work closely with Sales, Finance and Head Office teams to support contract reconciliations, investigate discrepancies and maintain strong document control processes. You will also act as backup to the Contract Administrator and support general office coordination. What you'll be doing Enter and maintain payment claim data with accuracy and timeliness Cross-check payment claims against payment schedules and investigate discrepancies Raise credit notes where required and support contract reconciliations Review submitted quotes against contract terms Provide payment splits to Finance to ensure correct allocation Assist with the submission of progress claims Maintain accurate document control and filing systems Manage reception duties and incoming correspondence Raise purchase orders and monitor office consumables Liaise with HR, Finance, Procurement and Safety teams to ensure compliance with company policies Provide backup support to the Contract Administrator during periods of leave Actively contribute to WHS, environmental and risk management activities About You You are methodical, organised and confident working across multiple systems. You understand the importance of accuracy in financial and contract administration and enjoy working in a structured, project-based environment. You will bring Previous administration experience, ideally supporting contracts in construction, civil or project environments Strong data entry and reconciliation skills with high attention to detail Confidence working with financial documentation and contract data Proficiency in Microsoft Office 365 Experience with ERP systems such as Epicor or ABM (desirable) Strong communication skills and the ability to liaise across departments A proactive, reliable and team-focused approach Qualifications & Requirements Current unrestricted Australian driver’s licence Valid working rights in Australia Ability to pass a pre-employment medical and drug & alcohol screening Strong general computer literacy Why join us?
