The Role This is a senior operations-focused administration role central to the smooth running of the practice. It would suit an experienced Practice Administrator, Senior Client Services Administrator, Practice Operations Coordinator or Office Manager from a public practice accounting environment who understands how compliance, workflow and client servicing connect behind the scenes. This isn’t a front desk reception position. It’s about operational oversight and consistency. You’ll work closely with Directors and the wider accounting team to keep client services, ATO and ASIC compliance processes, and internal workflows running efficiently. Rather than reacting to daily tasks, this role is about maintaining order, anticipating needs and being someone the team can rely on to keep things moving smoothly. You’ll play a central and trusted role in how the practice operates day to day. Key Responsibilities Overseeing day-to-day administrative and operational functions across the practice Managing ATO and ASIC lodgements, tracking deadlines and ensuring compliance accuracy Acting as a central coordination point for client documentation, correspondence and regulatory communication Maintaining clean, accurate client records across practice management systems such as Xero Practice Manager (XPM), FYI Docs, CAS360 and NowInfinity Supporting Directors with workflow coordination, scheduling and operational priorities Preparing professional documentation, reports and spreadsheets to a high standard Monitoring capacity and workflow across the accounting team, flagging issues early to maintain smooth delivery Working with leadership to refine systems and improve operational efficiency over time Providing steady, consistent support that allows accountants and advisers to focus on client-facing work The Candidate This role is designed for someone who already understands the rhythm and workflow of accounting. Proven experience in a public practice accounting firm in a Practice Administrator, Client Services Administrator, Operations or similar compliance-focused role Hands-on exposure to ATO and ASIC compliance processes, lodgements and portal management Confidence working across practice management and accounting systems, ideally Xero Practice Manager, FYI Docs, CAS360 or NowInfinity Strong organisational skills and a naturally structured approach to work Excellent written and verbal communication skills High attention to detail, particularly around deadlines, compliance and documentation The ability to work independently, manage competing priorities and provide steady operational leadership A long-term mindset and genuine interest in being part of a firm’s operational backbone Additional Opportunities Alongside this position, I am currently engaged on a number of assignments across the accounting and financial services sector.
