ABOUT THE ROLE This is a trusted, hands-on role supporting the CEO and COO while ensuring the smooth day-to-day running of the Sydney office. Operating with autonomy and discretion, you’ll balance high-level executive support with office management responsibilities. Working closely with senior leaders and internal teams, you’ll play a critical role in keeping the business organised, connected and operating seamlessly—ideal for an experienced EA who enjoys variety, responsibility and wearing multiple hats. DUTIES Manage complex diaries, meetings and schedules for the CEO and COO Coordinate correspondence and email management on behalf of executives Prepare, collate and support all aspects of Board meetings Maintain and research contacts within the CRM Act as first point of contact for phone enquiries and office visitors Oversee office supplies, equipment, stock tracking and charge-outs Administer security, phone and voicemail systems Coordinate staff meetings, catering and executive travel Manage onboarding and offboarding in collaboration with IT Organise staff celebrations, events and social activities Support general office operations and ad-hoc executive requests SKILLS & EXPERIENCE Proven experience as an EA, PA or Office Manager supporting senior leaders Advanced Outlook calendar management, including multiple time zones Strong organisational skills with the ability to juggle competing priorities High level of professionalism, discretion and attention to detail Confident communicator with a calm, solutions-focused approach Comfortable working autonomously while contributing to a collaborative team BENEFITS 1 day WFH per week Work-from-anywhere policy for the entire month of January Direct exposure to CEO and COO Varied, autonomous role with real impact Supportive, team-focused culture OUR RECRUITMENT PROCESS At Lotus People, we are committed to fostering diversity, equity and inclusion.
