Description Role Overview We are seeking a highly skilled and proactive Executive Assistant to provide exceptional administrative and operational support to a team of bankers across multiple seniority levels within the Investment Banking Division in Sydney, Australia. As an integral part of the team, you will play a critical role in enabling our bankers to operate at peak efficiency while delivering excellence to our clients. Key Responsibilities Executive Administration — Provide comprehensive support to bankers from Analyst to Managing Director level. Calendar & Meeting Management — Proactively manage complex schedules, coordinating internal/external meetings, conference calls, video conferences, and time zone alignment across global offices. Meeting Support — coordination of meeting materials for client and internal meetings, including printing, binding, scanning, and ensuring accurate distribution of documentation. Travel Coordination — Arrange domestic and international travel, accommodations, and itineraries, ensuring compliance with company travel policies. Telephone Coverage — Handle incoming calls, manage urgent/confidential communications with absolute discretion, and relay accurate messages promptly. Expense Management — Prepare, submit, reconcile, and track team expenses via the Concur system, adhering to financial policies and timelines. Collaboration — Maintain strong working relationships with internal and external contacts regionally and globally, including clients, suppliers, and stakeholders. Coverage Support — Provide coverage support to other Banker Teams during when EA colleagues are on leave. General Administration & Projects — Support ad‑hoc projects, team initiatives, and operational improvements as needed. Required Skills & Competencies Executive Assistant Experience — Previous experience supporting senior executives in an Investment Banking or high‑pressure corporate environment. High‑Level Travel Booking Expertise — Skilled in arranging travel for senior executives, managing competing priorities, and ensuring accuracy. Technology Proficiency — Strong skills in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and familiarity with expense management systems (e.g., Concur). Organisational Agility — Highly flexible, adept at adapting to shifting priorities in a dynamic, deadline‑driven environment. Attention to Detail — Demonstrated ability to deliver error‑free outputs under pressure.
