About the role and where you will be working: The Executive Assistant (EA) is responsible for providing a high level of professional administrative and logistical support to the Company Secretary to implement best practices in corporate governance and ensure compliance with legal, regulatory and information management requirements. The EA will also be responsible for managing the Board diary and ensuring the smooth functioning of board meetings, the accurate preparation of meeting materials and board minutes , and the maintenance of all board and governance related documentation. To succeed in this role, the EA must demonstrate high level communication skills, accurate and timely minute taking, document management and quality skills, discretion and confidentiality. This position is located in our central office in Rivervale with flexible working arrangement. We’ll also be asking you to:- Assist the Company Secretary to prepare and distribute meeting agendas, board packs and other necessary documentation and attend meetings of the Board and Committees to record accurate minutes and follow up on action items. Maintain accurate and up-to-date records of board activities, registers, minutes, and resolutions. Support the Company Secretary in drafting correspondence, reports, and other documents for Board-related communications including meeting schedules, deadlines, and events. Manage the administration of the organisation’s electronic board portal. Serve as point of contact for board members on administrative and logistical matters (e.g., travel arrangements, expense reimbursements). Facilitate the regular review of legislative requirements, monitoring updates and facilitate confirmation of compliance with internal stakeholders. To be considered for this role, you’ll need: Minimum of five years’ experience in supporting a governance or company secretarial role in a corporate environment (or similar executive administrative role). Demonstrated knowledge of corporate governance practices, legal compliance requirements, and risk management. Advanced skills in Microsoft Office, including Word, Outlook, Excel and PowerPoint. Experience utilising board management software with demonstrated ability to draft agendas and compile board packs. Demonstrated ability to accurately record Board and Committee meetings with clear and concise minutes within the required timeframe. High level spoken and written communication skills and experience with document proofing (spelling and grammar) demonstrating a high level of attention to detail.
