About the role As the Executive Assistant to Chief Officer Commercial & Aviation , you will be the strategic enabler behind the scenes, ensuring that every decision, meeting, and interaction runs seamlessly. Your work will empower the Chief Officer to focus on high-level priorities, while you orchestrate the operational rhythm that keeps the business moving forward. You will manage complex schedules, streamline communications, and coordinate critical engagements with precision and discretion. Beyond administration, you’ll act as a trusted advisor and problem-solver, anticipating needs, mitigating risks, and creating efficiencies that drive performance. This role demands agility, foresight, and professionalism, as you’ll be the first point of contact for senior stakeholders and a key representative of the executive office. A deeper dive into your key responsibilities include: Executive Support: Manage calendars, emails, meetings, travel, and prepare agendas, reports, and presentations. Act as gatekeeper and handle correspondence on behalf of the Chief Officer. Office & Administrative Management: Maintain filing systems, monitor deadlines, manage procurement processes, and mentor business support staff. Meeting & Event Coordination: Organise internal and external events, including team functions and stakeholder engagements. Communication & Stakeholder Management: Build strong relationships, represent the executive office professionally, and handle confidential information. Strategic & Project Support: Assist with research, data analysis, and project tracking. Support business initiatives and process improvements. Board Paper & Document Production: Ensure accurate preparation and formatting of board papers and reports aligned with company standards. Financial Administration: Manage invoices, purchase orders, accruals, and budget tracking in compliance with procurement policies. Process Improvement & Compliance: Advocate for efficiency, implement new processes, and ensure adherence to company policies. Safety & Wellbeing: Promote a safe and environmentally conscious workplace culture. About You Minimum 7 years’ experience supporting C-Suite executives. Certificate IV in Business Administration or relevant tertiary qualification. Strong business acumen with exposure to marketing, retail, or commercial industries. Advanced proficiency in Microsoft Office Suite; experience with Adobe InDesign preferred. Exceptional organisational, time management, and communication skills. Ability to manage multiple priorities under pressure while maintaining confidentiality. Tech-savvy and quick to adopt new technologies.
