Your Opportunity Wattle House , located in Perth's southeast region, serves as a Mission Australia hub offering integrated services to effectively address diverse client needs. The centre provides emergency relief such as food parcels, clothing, utility bill assistance, and food vouchers, alongside housing support services aimed at families and individuals experiencing or at risk of homelessness. This includes access to transitional housing based on availability, comprehensive case management, and strategic referrals to ensure long-term stable housing solutions. Financial counselling is also offered to support clients in budgeting effectively and managing debts, empowering them to achieve financial stability. Based in Maddington, the Administration Officer will support the effective operation of Wattle House reception, including the provision of information and practical assistance to people presenting for help and the booking of appointments for financial assistance. This is an on-site position requiring a high degree of judgment, initiative, confidentiality, and sensitivity. You will manage and complete a range of administrative tasks to enable the smooth running of the program, while supporting employees to complete administration duties accurately and on time. Your Key Responsibilities Provide a welcoming, professional, and supportive first point of contact for clients accessing services, both in person and via phone or email. Manage reception operations including appointment bookings, enquiries, walk-in intake for Emergency Relief, and responding to communications in a timely manner. Complete a broad range of administrative tasks such as data entry, document preparation, minute taking, records management, and SharePoint filing. Support financial and procurement processes including purchasing, accounts payable, petty cash, and corporate card transactions in line with policy. Coordinate donated goods and food supplies, including receiving, sorting, storage, and preparation of food parcels for distribution. Maintain administrative systems, client and staff records, and ensure compliance with privacy, confidentiality, and organisational procedures. Coordinate fleet vehicle servicing and respond to building maintenance issues as they arise. Requirements for Success Significant experience in an administrative or secretarial role, ideally within a busy or complex environment. Demonstrated ability to work respectfully and effectively with vulnerable people, including those displaying challenging behaviours. High level organisational skills with the ability to manage competing priorities and work under limited supervision. Strong computer literacy, including proficiency in Microsoft Word, Excel, PowerPoint, and experience using databases and online record systems. Exceptional customer service skills with clear, professional written and verbal communication. Sound judgement, problem-solving ability, and a solutions-focused approach while maintaining confidentiality and sensitivity. A physical capacity to undertake manual handling tasks, including lifting up to 15kg and safely using a step ladder. Full driver licence with no restrictions.
