Find out more about working with us. Your Role: As the Executive Assistant you will: Provide quality administrative, human resources and financial services within the division. Work collegially as a team for the delivery of administrative and corporate support functions with other Executive Assistants across the departmental offices, both centrally and regionally located. Responsibilities include: Provide confidential administrative support, information and advice to Directors and other staff across the division in accordance with departmental policies and procedures, on administrative, human resource and financial issues. Share responsibility for the daily operations of the unit including receiving and directing telephone calls and ensuring enquiries can be attended to during designated business hours. Employ effective communication skills to liaise professionally with officers and individuals at all levels of the division, the department, other government agencies and private sector and community representatives. Arrange appointments and provide administrative support for committees, meetings and conferences including catering, materials and information and providing secretariat support and minute taking. Undertake financial processing activities and organise travel, accommodation and business arrangements for staff and clients. Maintain the records management system and administer the flow of correspondence across the division including acting as the central point for the distribution of correspondence and documents, following up on outstanding items and preparing documents for approval. Develop and maintain management and administrative databases, process information and prepare correspondence and associated reports for senior officers. Manage and maintain the equipment of the branch including administering any equipment loans and participating in the annual asset stock take. Undertake human resource activities including engaging and organising the induction of new staff, maintaining and updating records and progressing leave requests. Interested?
