We have an exciting opportunity for an experienced administrative professional ready to support strategic and operational initiatives within the leading University faculty. Join the Faculty of Medicine and Health (FMH) as a Senior Executive Services Officer and contribute to shaping the academic experience during a period of significant growth. Your key responsibilities will be to: provide operational support for Executive Services, including staff data management, onboarding, and complex enquiry resolution, while fostering professional relationships and assisting with the implementation of strategic initiatives manage complex faculty-specific administration tasks, including teaching allocations, leadership EOIs, Special Studies Program (SSP) and clinical educator credentialling, while supporting affiliate reviews and updating staff data build strong relationships across the faculty and central teams. Collaborate and communicate effectively with academic and professional staff across face-to-face, online, and email channels. Act as a key point of contact for school operations and senior leadership run, analyse, and interpret reports to support decision-making. Maintain dashboards (e.g. Power BI), export and manipulate data in Microsoft Excel, and ensure accuracy in reporting across staff records and workload allocations proactively review and improve processes, implement modifications, streamline workflows, and provide training on new or revised procedures across the team and Faculty manage role-based accounts, databases, SharePoint, and reporting, ensuring accuracy and compliance with University policies, while overseeing documentation, coordinating reports, and updating intranet content as needed. About you strong problem-solving skills and the ability to use initiative and exercise sound judgement and ability to prioritise workload during busy periods, with strong attention to detail well-developed negotiation, conflict resolution, relationship building, and influencing skills excellent verbal and written communication skills, with experience in handling a wide range of enquiries and providing excellent customer service with discretion working knowledge of data processing with proficiency in Microsoft Excel data handling for reporting and analysis administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector will be highly regarded.
