Due to continued growth, we are seeking an experienced Office Manager to support our head office operations in Mulgrave. About the Role We are seeking an experienced and proactive Office Manager to join our growing team. This role is ideal for a highly organized professional with strong administrative and people management skills. You will oversee office administration, support HR and finance functions, and work closely with internal teams to ensure efficient and compliant operations. Key Responsibilities • Plan, manage and oversee the day-to-day operations of the head office, ensuring efficient administrative systems and workflows are in place and consistently followed • Develop, implement and continuously improve office policies, procedures and administrative systems to support operational efficiency and regulatory compliance • Supervise, lead and coordinate administrative and HR staff, including task allocation, performance monitoring, coaching, and conducting regular performance reviews • Manage end-to-end human resources administration, including recruitment coordination, employee onboarding, maintenance of staff records, payroll administration support, performance management processes, and training coordination, ensuring compliance with Fair Work and relevant employment legislation • Oversee office facilities management, including coordination with suppliers, service providers, procurement activities, and inventory control to ensure cost-effective and timely operations • Ensure accurate, secure and compliant document management systems are maintained, including personnel records, contracts, financial documentation and internal reports • Coordinate with the finance team to oversee routine financial administration functions, including invoice processing, expense reimbursements, record reconciliation and internal reporting support • Liaise closely with internal departments such as operations, logistics, customs clearance and finance to ensure smooth cross-functional workflows and timely information exchange • Oversee workplace health and safety procedures, including organising safety inspections, maintaining WHS documentation, and ensuring compliance with internal policies and legislative requirements • Provide high-level administrative and operational support to senior management, including preparing reports, schedules, correspondence and ad-hoc operational analysis as required.
