This is a full-time office based role. We're looking for a highly organised, proactive Office & Operations Coordinator to support the smooth running of our site and provide day-to-day administrative, scheduling, and logistics support to the team. What you'll be doing: Office Management & Front-of-House Provide general office coordination. Maintain order across the office and support teams including R&D, Quality, Packing, Pilot, and incoming parcel handling. Receive, sort, and dispatch parcels and incoming deliveries to the appropriate team members. Manage entry access - respond to the doorbell, greet visitors, and ensure all onsite guests are legitimate, registered, and announced (e.g., contractors, building services, fire/electricians). Liaise with Head Office where required to maintain high presentation and operational standards across site. Presentation & Microsoft Office Support Provide administrative and formatting support for documents and presentations. Assist with preparing materials in PowerPoint, Excel, and Word. Support creation and processing of Purchase Order documentation. Meeting & Scheduling Support Coordinate meeting room bookings, rescheduling, and calendar management. Schedule meetings, circulate agendas, and distribute minutes. Manage supplier visit scheduling, confirmations, and follow-up communication. Logistics & Dispatch Support Support with DHL dispatch and email coordination. Assist the Testing Team with sample dispatch to Japan. Provide delivery tracking updates to internal teams. Follow up raw material Purchase Orders and documentation with suppliers. Laboratory & Administrative Support Scan, file, and maintain records. Support inventory coordination alongside the team. Ensure maintenance contractors and service providers are supervised onsite where required. General Administration & Coordination Book travel and accommodation where required. Plan and coordinate visitor schedules and welcome packs. Support coordination and distribution of units and materials as needed.
