Overview: Full-time, Fixed Term position until 20/12/2027 Salary HEW 6 17% Superannuation and Flexible Working Arrangements Based at the Melbourne CBD campus, but may be required to work and/or be based at other campuses of the University About The Position RMIT Activator is the University’s hub for innovation and entrepreneurship, harnessing strengths in design, technology, and business to drive real-world impact. The Office and Program Coordinator supports this mission by delivering seamless operations across Activator’s programs, community initiatives, and co-working environment. The role coordinates the Activator Residency program, engagement activities, events, workshops, and Entrepreneurs-in-Residence, while maintaining communication platforms and databases to ensure a high-quality experience for founders and partners. This position also manages office administration including space bookings, facilities liaison, building access, invoicing, supplier coordination, and ServiceNow requests, contributing to a dynamic environment that inspires, connects, and accelerates entrepreneurial success. To be successful in this position, you’ll have: 1. Experience and Knowledge Demonstrated experience in event management, program coordination, or community engagement-ideally within a startup, innovation, or entrepreneurial ecosystem. Proven ability to manage multiple activities simultaneously while maintaining high standards of quality and attention to detail. Understanding of startup culture and the ability to thrive in a dynamic, fast-paced environment where priorities can shift quickly. Familiarity with the RMIT environment, or experience working within a large, complex organisation (desirable). 2. Technical Skills and Systems Ability to quickly learn and apply new systems, tools, and processes to support operational excellence. Experience with CRM or data management systems (preferred but not essential), and strong working knowledge of Microsoft Office Suite. Familiarity with platforms such as Airtable, Slack, Power Bi, Eventbrite, Zoom, and social media channels to manage communication and engagement. 3. Communication and Collaboration Strong interpersonal and communication skills, with the ability to engage effectively with diverse stakeholders including founders, students, staff, and industry partners. Demonstrated commitment to delivering exceptional customer service and community experiences. Ability to work collaboratively as part of a team, contributing to shared goals while managing individual priorities. 4. Problem Solving and Initiative Proven capacity to manage competing demands, respond to unforeseen challenges, and adapt quickly to changing circumstances. Ability to think on your feet, make sound judgments, and find creative solutions within established guidelines. A proactive, can-do attitude with a willingness to learn and take ownership of outcomes. 5. Attention to Detail and Accountability Strong organisational skills with the ability to manage data accurately, meet deadlines, and follow through on commitments. Demonstrated commitment to continuous improvement and maintaining efficient, transparent processes.
