Your Role Reporting to the Operations Lead and working closely with the CEO, this pivotal role ensures the seamless running of both the CEO’s office and the wider Melbourne operations. You’ll need to be confident working with a highly driven, detail-oriented leader, and comfortable exercising judgement, anticipating needs, and managing competing priorities. You’ll have regular check-ins, coaching, and ongoing support from the Operations Lead while being trusted to operate with autonomy day-to-day. Key Responsibilities: Provide high-level executive and administrative support to the CEO Inbox and calendar management – owning the schedule, anticipating clashes, reviewing upcoming commitments, and ensuring meetings and follow-ups are handled proactively Draft and manage correspondence, including emails and documents on behalf of the CEO Coordinate travel logistics – both domestic and international (including to the US) Organise internal events – leadership meetings, offsites, and team gatherings (e.g., Christmas events, catering, venue coordination) Office management and procurement – oversee supplies, equipment, and logistics for the Melbourne and UK offices Recruitment and onboarding support – posting roles, screening, scheduling interviews, coordinating new starter logistics Client and stakeholder liaison – manage communications with internal teams, investors, and high-profile clients Collaborate with the Operations Team for approvals, procurement, and system updates Your Profile This role suits someone who thrives in a fast-paced environment and is ready to “roll up their sleeves” to get things done. You’re proactive, polished, and comfortable supporting a CEO with high expectations and exacting standards. You’ll have previously worked in a hands-on Executive or Personal Assistant capacity and you’ll take pride in being the person who knows what’s needed before anyone asks. To succeed, you’ll bring: Proven experience as an Executive Assistant or high-level PA Exceptional attention to detail and accuracy – you spot what others miss Strong written communication skills – confident drafting correspondence in a professional tone Ability to make decisions and act autonomously A proactive mindset – you anticipate needs, prioritise effectively, and take initiative Tech-savviness – experience with Google Workspace, Slack, Notion, and Miro (or similar) High emotional intelligence and confidence engaging with senior stakeholders and clients A calm, resilient nature - comfortable working with driven, fast-moving leaders Alignment with startup culture – adaptable, resourceful, and collaborative What's in it for me?
