About us The Department of Government Services (DGS) was established on 1 January 2023 to improve everyone's experience of doing business and interacting with the Victorian government. About the role The Executive Coordinator supports the Director, Compliance and Enforcement and the leadership team by providing a range of executive administrative and coordination services whilst managing key relationships with key stakeholders. The role will require superior capability in administrative and coordination functions, including coordinating and assisting with briefings and correspondence and the ability to provide advice and engage and communicate well with key stakeholders. Key Accountabilities Provide coordination, advice and support to the Director, to assist in monitoring performance, identifying internal and external issues and risks that impact on the work of the Directorate and support resolving issues that are identified. Liaise with departmental executives and their respective offices', managers and staff to provide appropriate advice, information and assistance. Coordinate and assist with the preparation of, and prepare, departmental and ministerial briefings, submissions, correspondence and responses to other similar requests. Lead and coordinate priority projects and initiatives for the Directorate, incorporating high level analysis, planning, timely delivery of actions and internal stakeholder engagement to ensure relevant contributions across teams. About you To be considered for the role, you must be able to demonstrate: Communication: Advanced written and verbal communication skills with ability to tailor communication relevant to the audience. Able to prepare and present complex information, correspondence, reports and briefs in a clear, concise and articulate manner. Stakeholder management: Highly developed interpersonal and relationship building skills with the ability to build positive and collaborative relationships to negotiate, persuade and motivate on complex and sensitive issues Analytical and problem-solving skills: High level conceptual and analytical skills, including the ability to research, analyse issues and develop innovative and effective solutions. Organisation and Planning skills: Well-developed organisational skills, coupled with strong attention to detail and the ability to make sound judgements and balance competing priorities to meet deadlines. Works well with others to plan activities in line with priorities and to overcome actual and potential barriers and ensure plans are achieved Understanding of, or experience in Government: Demonstrated knowledge of and experience in departmental objectives and administrative processes, procedures and systems. Mandatory requirements Skilled in MS Office applications (Word, Excel, PowerPoint, OneNote, Outlook, SharePoint).
