We are currently recruiting for a Practice Secretary on a part-time permanent basis for a surgical specialist medical practice based in Spring Hill, Brisbane. This role will focus on ensuring patients receive friendly, professional, informed and reliable services through all interactions with this medical practice and that day-to-day operations of the practice are maintained and upheld. This is a part time role (3 days per week) based at the medical practice in Spring Hill. THE OPPORTUNITY: Work closely with the Practice Manager, surgeon and other team members to develop a good working relationship that meets patients’ expectations and practice goals. Answering phone and emails, responding to referrals and general inquiries. Booking appointments for new and existing patients, booking consultations, post-surgery reviews, x-ray and scan appointments, and booking transport as required. Booking patients for surgery at hospitals, and ensuring all necessary procedures, instructions and bookings for surgery have been made and communicated to patients prior to surgery. Report directly to the Practice Manager and practice surgeon, and regularly liaise with other team members, doctors, patients, health funds, and other internal and external stakeholders, as required. Invoice patients, receive payments, banking and reconciling payments. Liaise with pathology and medical imaging providers. Typing from dictation, with quick turnaround. Other office duties such as mail outs, updating database, ordering office supplies, collating surgery survey forms. RELEVANT SKILLS & EXPERIENCE: Proven experience working in a health or medical administration role is required. Highly developed administration, customer service, and interpersonal skills to uphold a professional, efficient, empathetic and dependable service, particularly for patients. Experience working within a surgical or medical field is essential; as is an understanding or knowledge of relevant medical terminology. Keen organisational and communication skills, and the ability to work independently. Capable of being attentive and timely with administrative tasks. Ability to work independently and as part of a team. Good working knowledge of practice management systems (experience with Gentu would be a bonus!). Efficient and accurate typing skills. Qualifications in Medical or Health Administration, Business Administration, or other relevant discipline is desirable, however not essential. ADDITIONAL INFORMATION: This is a part-time permanent role (3 days per week). This is a practice-based role (please note, there is no option for work-from-home or remote working arrangements in this role). Some additional days/hours for holiday cover or sick cover may be required on occasion. Salary for the role is negotiable based on the successful candidate’s skills, experience, qualifications and fit for the role. You will be required to work directly with doctors, surgeons, the Practice Manager, clients and patients. Must have full work rights in Australia and/or New Zealand to be considered for this role.
