This role is within the Aged Care Policy Branch of the Independent Health and Aged Care Pricing Authority (IHACPA). The Operations Officer in the Aged Care Accommodation section is responsible for allocating Refundable Accommodation Deposit (RAD) applications received to the section's in-box to the team, inputting applications into the database, and record keeping. The Operations Officer is responsible for tracking and managing incoming calls and enquiries from the sector and redirecting queries from consumers and their families. The position supports assessors in compiling and the secure filing of decisions and reports, coordinating the allocation process of applications and managing the development of lapsing letters. The Operations Officer also supports procurement, reporting the section's monthly and annual reporting, and supporting the development of key policy and procedural documents. The key duties of the position include The Operations Officer reports to a Policy & Program Manager and supports the Aged Care Accommodation section, to ensure operational goals are achieved. Key responsibilities include: Supporting a team of Policy & Program Managers and the Director of the Aged Care Accommodation section, in the delivery of the aged care policy work program and other matters as they arise Undertaking the delivery of specific aged care policy activities, including but not limited to: • Accurate data entry and sound record keeping • Drafting correspondence to aged care providers about lapsing refundable accommodation deposit (RAD) applications • Managing the section's in-box • Responding to phone calls from the aged care sector, consumers or their families. Supporting Policy & Program Managers to develop: • Reviews of RAD applications and information that require sharing with the other key agencies • Monthly data reporting of the number of RAD applications received and progressed • IHACPA-wide documents, such as the Annual Report, and Board or committee papers, as required. Managing relationships with internal and external stakeholders including telephone calls and correspondence from aged care providers or consumers and their families, coordinating timely and professional responses Contributing to the development and implementation of internal policies and procedures. Contributing to procurement and contract management activities, and other ad hoc duties as required.
