Tradetech Services Aust (TSA) is seeking the demonstrated skills and tenacious attitude of a construction Administration Officer. This role reports to 2 senior Managers in the company and plays the pivotal role of supporting their daily tasks and increasing their effectiveness and efficiency. The Role: Reporting to the 2 most senior Managers - Head of Construction / Construction Manager (The Managers) we are seeking a permanent full-time Personal Assistant based in Reservoir office five days a week. Key aspects of the responsibilities are: Head of business Support: Support and filter incoming information. Prioritise reports, calendar, responses etc. Email / calendars: Actively planning and streamlining email requests, tasks and commitments. Direct response as required in conjunction with Managers. (The Managers) priorities. Apply forward planning on upcoming tasks and commitments to ensure deadlines are met, including calendar management and meeting arrangements. Schedule Management : Strive to reduce Managers involvement in lower-level tasks and “push” issues to appropriate staff as per the organisational structure. Meeting Coordination: Arrange and coordinate meetings, including logistics, agendas, and follow-ups. Documentation, Presentation & reports : Draft and edit high-quality documents, presentations, and reports for internal and external use. Be the key point of responsibility for business reports in a timely manner. Labour &Plant resource model: Help build and own the management of the Resource Model to Managers always know where changes and movement of resource can be made with the greatest level of insights. Problem Solving & Initiative : Anticipate challenges, offer creative solutions, and ensure the smooth operation of day-to-day business activities. General Administration: Perform general office administration tasks to support the smooth running of daily operations. Organisational Structure: Support Managers to drive accountability via the roles and responsibilities within the business. Stakeholder Communication: Facilitate communication between executives and internal/external stakeholders to ensure seamless operations. Manage “upwards” and provide reports / information to COO, CEO, MD when required. Confidential Information Management: Handle sensitive and confidential information with discretion and professionalism About you: Experience in Construction environments would be advantageous. At least 5 years of experience as a senior assistant or in a similar role. Excellent organizational and time-management skills. Strong written and verbal communication abilities. Excellent IT and systems knowledge. Proficiency in Word, Excel, PowerPoint, Outlook. The ability to multitask and prioritize effectively in a fast-paced environment. High level of discretion and confidentiality.
