Your Organisation: Woodforde Group is proud to be partnering with a highly regarded Not-for-Profit organisation to recruit a temporary Executive Assistant to provide leave coverage during a key team member’s absence supporting an Executive Director. About the role: Reporting directly to the Executive Director, this hands-on and highly varied role is perfect for an experienced Executive Assistant who thrives in a fast-paced, people-facing environment. You will be the Executive Director’s trusted right hand - anticipating needs, managing priorities, and ensuring the smooth operation of both day-to-day tasks and broader strategic initiatives. Key Responsibilities: Proactively manage a busy calendar, including travel times, meeting buffers, and time for the Executive Director to manage emails and prepare for commitments Coordinate and manage all incoming emails, prioritising, flagging, and drafting responses where required Prepare and distribute meeting papers and agendas ahead of time Take accurate and professional meeting minutes and coordinate follow-up actions Greet and host guests, providing refreshments and ensuring a welcoming experience Coordinate internal and external events, including catering, venue bookings, and liaison with the functions team for hosted lunches Manage and reconcile Executive Director’s expenses Provide high-level administrative support Coordinate the preparation of executive reports Draft and type professional correspondence and letters Support the property portfolio, including tracking operational costs, maintaining spreadsheets, entering invoice data (e.g. utilities), and managing key logs This is a fantastic opportunity for someone who is detail-oriented, takes pride in staying one step ahead, and enjoys being involved across a broad portfolio including philanthropy, branding and executive support. Your Profile You are an experienced and committed Executive Assistant with extensive expertise supporting C-suite executives. You bring a fresh, adaptable approach and thrive in a fast-paced, evolving environment. Relationship-oriented, you infuse energy and enthusiasm into the office every day. Your warm and approachable demeanour helps you build and maintain strong relationships with both internal and external stakeholders. You’re passionate about providing top-tier administrative support at a senior level, known for your organisational skills, attention to detail, professionalism, and high corporate standards. You possess advanced MS Office skills and have a proven record of thriving in deadline-driven settings. Your exceptional written and verbal communication abilities, along with strong prioritisation skills, set you apart.
