A new opening has recently become available for a skilled Bid Submission Coordinator to join their marketing team and work collaboratively alongside the Communications Manager and Graphic Designer. Your responsibilities will focus heavily on coordinating the production of submissions and proposals, managing the tender inbox, portal and panels and liaising with stakeholders to ensure deadlines are met. It’s a fast-paced environment but your contribution and support will be integral to the success of the studio and nationally based team. Essential Criteria: Clear understanding of, and previous exposure to the tender process Experience working in Architecture studio or Building/Construction industry Skilful use of InDesign and MS Office (Photoshop, Illustrator ideal) Excellent communicator (verbal, written, active listening) who conveys information clearly, concisely and consistently Highly organised, detail oriented, focused and results driven Confident and assertive, courteous and calm under pressure You’ll ultimately be coordinating and preparing the highest quality competitive submissions and proposals to an array of prestigious clientele. It’s a key role that requires you to switch seamlessly between working collaboratively in a team, and independently as a leader. Skills & Responsibilities: Relevant tertiary qualification in Architecture/Design/Drafting/Business 7 years of experience Proficiency coordinating the bids and submissions process from end-to-end Liaise with subconsultants and coordinate timely provision of their documentation Monitor tender portals to identify and track relevant opportunities and bring well vetted suggestions to bid meetings Assist with preparation of capability statements and other materials for business development, interviews, and pitches Maintain accurate filing and version control for all submission collateral Track and organise input from internal team members and external stakeholders Update the library - including contacts, imagery and documents Uphold Brand Guidelines as set by the Graphic Designer Support quality assurance processes to meet the highest standards Whilst specialised, this remains a broadly based role as it requires strong administration and coordination skills plus an eye for detail and design. You’ll be assisting in the improvement of workflow systems and standards as well as reviewing proposals to ensure they’re complete and adhere to the required formats. An impeccable level of accuracy and sense of urgency will be crucial to your success. Long term, career opportunity on a full-time basis in the range of $85,000 - $95,000 plus Superannuation, in accordance with your skills and experience.
